Confidentiality is at the heart of our Wā Manaaki supervision sessions. When you share your professional experiences with us, you deserve complete privacy and trust. This post outlines how we protect your information and maintain the confidential space needed for effective supervision.

Your Privacy Comes First

When you step into a supervision session, you're entering a safe space for professional reflection and growth. The notes taken during these sessions are protected by strict confidentiality protocols. Neither your colleagues at Kāinga Ora nor other supervisors at 3 Big Things can access your supervision records without your explicit permission.

Our Note-Taking Practice

Note-taking is an integral part of supporting your professional development. During each session, your supervisor documents essential elements including:

  • The focus and themes of our discussion

  • Key insights and learning points

  • Any challenges or opportunities identified

  • Agreed actions and next steps

These notes help track your growth over time and ensure your supervisor can provide consistent, thoughtful support between sessions.

Sharing Session Notes With You

Your supervisor will typically email you notes after each session as a helpful reference point. You can choose to opt out of receiving these notes, or request they be sent to a personal rather than work email address. You can also request to see your supervision notes at any time.

Secure Information Storage

We take the security of your information seriously. All supervision notes are stored in Zanda (formerly PowerDiary), our secure client management system. Zanda holds ISO 27001 certification, the gold standard for information security management, and fully complies with the Privacy Act 2020 and New Zealand's health data standards. Kāinga Ora has thoroughly reviewed and approved our data management practices, ensuring your information remains protected at all times.

Looking to the Future

In line with health information regulations, we retain supervision records for 10 years. This ensures your professional development journey is properly documented while meeting all legal requirements.

Clear Boundaries Around Confidentiality

Your supervision notes remain confidential between you and your supervisor. However, if significant safety concerns arise, your supervisor has a professional obligation to share relevant information with appropriate parties. In such instances, your supervisor will first discuss the matter with you, clearly explaining their reasoning and the available options to address the concern. Full details regarding confidentiality are outlined in your Professional Supervision Agreement, which you signed at the commencement of supervision. We encourage you to review this agreement or discuss any questions directly with your supervisor.
